The Challenge
A warehouse equipment manufacturer needed to calculate monthly sales commissions for a growing sales team. Early on, the commission program was relatively simple — but as the business grew, the commission structure evolved to support different sales roles, territories, and incentive programs. Each new wrinkle made the monthly calculation harder to get right manually.
They needed a tool that could handle the current complexity, produce accurate commission statements, and adapt as the business continued to change. Not a one-time build — something they could grow with.
The Solution
We built an Excel/VBA commission calculator that handled their monthly processing. But the real value has come from 12+ years of continuous partnership — evolving the tool alongside the business as their commission programs grew more sophisticated.

The tool supports 12 different commission structures — each with its own calculation logic and its own statement layout — reflecting the different sales roles, territories, and programs within the business.
Complex Bonus Schemes
Layered bonus structures — thresholds, tiers, accelerators, performance bonuses, and team-based incentives that go beyond straight-rate commissions.
Custom Statement Layouts
Each commission structure gets its own tailored statement layout — showing the right sales detail, the right calculation steps, and the right bonus context for that role — with a full audit trail.
Automated Email Distribution
Added a distribution tool that generates and sends emails automatically — individual salespersons receive their own statement, and sales managers receive a single email with their entire team's statements attached.
The reporting and distribution side — journal entries, accruals, sales summaries, and automated email distribution of statements.
A 12-Year Evolution
When the client's commission programs got more complex, we extended the tool. When they added new sales roles, we adapted the calculation logic. When they wanted to streamline distribution, we built the email automation. Every enhancement builds on the foundation we laid originally — the business can rely on the tool they know, while still getting new capabilities as they need them.
