VBA-Generated Client Statements in PDF
The Challenge
An alternative asset manager needed to provide professional-quality monthly activity statements to each of their clients. The raw transaction and valuation data was available, but turning that into client-ready statements was a problem.
The options seemed to be: invest in a dedicated reporting system (expensive), build statements manually each month (time-consuming and error-prone), or live with a format that didn't reflect the professionalism of the firm.
They wanted statements that looked as though they came from a purpose-built reporting system, without the cost of actually building or buying one.
The Solution
We built an Excel/VBA-based statement generator that turned raw transaction data into professional PDF output:
Data Import & Management
Imported raw transaction and valuation records from the client's custodian system — single-file or batch imports for full-period processing — with data validation and correction tools built in.
Client & Market Aggregation
Dynamically aggregated client-specific activity alongside total market/portfolio activity, enabling comparisons, benchmarks, and contextual reporting without manual calculation.
Return & Metric Calculation
Calculated account balances, month/quarter/year/YTD returns, since-inception performance, and other key metrics directly from raw transaction and valuation records.
Batch PDF Generation
One-click statement generation for all clients at once — each client received their own customized PDF statement with charts and tables reflecting their specific holdings and performance.
The tool also included data management features for correcting or supplementing data (manual transaction entry for records the SQL system didn't capture, client account maintenance, rollover transaction processing), and query tools for internal use.
